Registered Clinic Manager

As a clinic manager you will be responsible for the day-to-day clinic operations and management of administrative and support staff, ensuring the highest quality of service is provided for patients, whilst improving staff performance and driving the team to hit targets. You will monitor progress and analyse data to assess revenues and performance, and devise strategies to boost efficiency and profitability, and ensure patient care remains at a high standard. You will be responsible for ensuring that all clinic activities and facilities are in line with both clinic protocols and regulatory guidelines.

 

Main Purposes of Job

  • Oversee the financial transactions of the clinic
  • Oversee the clinical and administrative processes of the clinic.
  • Work with our current Information Technology Systems and perform general office administration.
  • Collate throughput figures
  • Oversee call and recall systems
  • Perform stock control and supplier management
  • Delegate and monitor tasks to office staff appropriate to the needs of the clinic
  • Ensure the health and safety of staff and the environment
  • Ensure clinic policies are comprehensive and relevant
  • Co-ordinate events for staff, customers and for medical personnel whom we train
  • Be willing flexibility in hours and in duties
  • Ensure the physical structure and framework of the clinic is maintained to a high standard
  • Ensure that the clinic maintains its high reputation in clinical excellence and service
  • Deal with complaints and queries
  • Ensure CQC standards are met achieved and maintained
  • Manage patient payment plans and finance agreements
  • Conduct weekly/monthly Audits
  • Monitor patient finance

 

 Human Resource Management

  • Perform personnel management of the employed staff and self-employed personnel
  • Communicate and perform continued education with staff
  • Perform monthly one to ones
  • Ensure learning amongst clinical and administrative staff is continuous and appropriate
  • Perform the day to day management of all the staff in the clinic including rotas, and staff contracts from starting to termination
  • Monitor performance of staff and deal appropriately with poor performance
  • Set relevant job specific targets
  • Maintain high quality of employee records

 

Relationships

  • Directly responsible and accountable to the CEO
  • Accountable to Directors
  • Member of core management team

 

 KPI’s

  • Deliver within defined time frames the Sthetix Ltd. objectives and performance targets
  • Production of key financial reports and projections for the Directors
  • Financial reporting to CEO/ Directors on a daily/weekly/monthly basis. Reports to include
    • New patient numbers
    • Total appointments booked
    • Total visit numbers
    • Total patient revenue with and without stock sales
    • Outstanding debit and credit account balances
    • Cancellations and DNAs
    • Number of patients who do not follow up appointments
    • Staff timekeeping
    • Staff conversion rates
    • Finance and Payment Plans

 

Key Outputs

Operational

  • The achievement of the Sthetix Ltd.financial objectives on an monthly and annual basis
  • Ensure that budget holders receive and understand financial information necessary to fulfil their

own responsibilities

  • Co-ordination of the long term financial planning and budget cycle undertaken by the organisation
  • Development of business financial processes and ensuring they are regularly maintained
  • Management of the production of the annual statutory accounts
  • Responsibility for the integrity and security of data and information held on the MIS and its related files and the coordination of upgrades to the system
  • Coordination of relationships with external suppliers of IT and bespoke applications
  • Contribution/participation as an individual to the development of Sthetix Ltd.
  • Set high personal and professional standards in line with Sthetix Ltd.Code of Conduct.
  • Benchmarking of competitive clinics.

 

Marketing

  • To assist marketing team when required

Experience

  • Experience of leading a team and managing staff and all aspects of their development
  • Knowledge of cosmetic surgery, cosmetic injections, and lasers
  • Relevant product knowledge and training, though training will be provided if required
  • Experience of producing correspondence and documents
  • Proficient in spelling, punctuation, grammar and other English language skills
  • Knowledge of operation of standard office equipment
  • Experience of development and maintenance of accounting processes
  • Proficient in the use of a range of IT packages including MS Excel, MS Word
  • Experience of using relevant clinical software
